Eastern District Councillor’s Message

Spring 2025

Greetings Eastern District members. The 2025 winter has certainly given many of us some challenges with the snow, wind and bitter cold. I hope you all are staying warm and safe. I am looking forward to meeting some of you this spring when you conduct your Business and Scientific meetings. I just returned from the Spring District Councilors meeting and have lots of information to share.

不良研究所Annual Business and Educational Meeting will be held in Pittsburgh PA from July 20-25 at the Hotel: Wyndham Grand Pittsburgh Downtown, 600 Commonwealth Place, Pittsburgh, PA. 15222. Please make sure to make your State Societies Delegation reservations on or before Friday 27 June. The room rate is estimated at $210/night, and for those who drive, valet parking is $43/day.

The annual meeting format has been changed. Please go to the 不良研究所web site Annual Meetings at a Glance TAB for information concerning the changes. Please be on the lookout in your emails for future updates concerning the Annual meeting and Educational. More information to come soon.

Please have your State Society Delegates list for the annual meeting to 不良研究所Office No Later Than (NLT) 1 May 2025

• Please send a master list of your Delegates to Lisa Gabel at Travel EX for flight reservations. (expenses will be charged to the State Society Credit Card). Please call Lisa and give her the State Society Credit Card number for your State. Do Not email her that information. Don’t forget to request a detailed receipt of charges from Lisa. 
• REMEMBER Credit card holders you may need to call and ask for an increase in your credit line before you begin making your delegate charges. Once travel arrangements have been made and charged, remember to complete the credit card log sheet, attach the detailed Travel Ex receipt and submit it.
• Please contact hotel with a master list of delegates and make a group reservation and use the SS CC. Get a detailed receipt from the hotel of detailed charges, should only have room and tax. (Incidentals will be at the delegate’s expense.)
• ANY member wishing to go before or after the meeting dates will need to contact the hotel personally and request for a “shoulder reservation” for those add on days and use their own credit card. Those additional days are at the individual’s own expense and non-reimbursable.

Delegate reimbursement as follows: All members, delegates, and committee chairs will get the same stipend. Four (4) nights hotel, fly in Sunday, July 20th, depart July 24th. Additional days will be at the delegates’ expense and not reimbursable by 不良研究所or the state society. Airfare must be made through Travelex. Flights will be at the main cabin rates. If you choose to upgrade, this will be at your own expense. We are no longer required to keep detailed receipts for meals, baggage, or ground transportation (such as Uber or Lyft), etc., or submit a reimbursement request. Stipend post-completion of your required 不良研究所duties. The stipend amount is $ 400. DO NOT use the State Society Credit Card for anything while in Pittsburgh. Everyone is responsible for paying for their own meals.

The Biennial General Meeting is being hosted by the Caribbean State Society October 6-10, 2025, in St. Kitts. All 不良研究所members are invited.

The Northeast Laboratory Conference (NELC) will be October 22-23, 2025, in Portland Maine at the Holiday Inn by the Bay. Cohosted by the MeNHSSAMT.

Labvocate, formerly known as Leg Day, will be Oct. 20th and 21st in Old Town Alexandia, VA. Those interested will need to apply to attend. Once accepted to participate, you will be directed to make your travel arrangements. This should have been part of your states budget for individuals wishing to attend.

As of August 2024, State Society Audits have been suspended while the 不良研究所accounting office straightens out the finances. With that being stated, you must still complete the monthly treasure reports. All line items must have something in them. If there is nothing to report, it must have a zero (0) in the box. If you have a known account balance, you may start with that information. If you are one of the States whose fianc茅 reports are still being worked on, then you will start with zero. Record what you have for expenses for the month, any income earned, credit card usage, etc. We must be transparent and show our membership what we have spent or received for the month.

The 不良研究所Annual Meeting for 2026 will be in the Great Lakes District. The location is the great city of Columbus, Ohio. Hyatt Regency Columbus, July 20 – 25, 2026. Hotel costs approximately $200/night.

Presidents: please be mindful of the continuing education classes offered at your scientific meetings. Topics should pertain to any of the 不良研究所disciplines. Please always use the current forms from the 不良研究所website state leadership resources page. I also need you all to send me information on your upcoming scientific, business and board meetings as soon as possible so I can make plans to attend in person or virtually.

Remember purchases over $200 must be approved by the State Finance Committee. Send the information about the planned purchase to the Committee chair, Kaye Tschop and to me.

A policy is being finalized and will be released from the national office soon concerning hotel contracts. Hotel contracts over $5000 will need to be reviewed by the State Event Planning Committee. The contract needs to be submitted to the Chair, Peggy Olier and myself for review and approval before signing.

Scam Alert!!! Scam Alert!!!
Everyone please be cautious!! There are all kinds of people preying on unsuspecting people. If you receive an email from anyone on your state society board wanting you to purchase gift cards, do not purchase. Call the sender and ask if they sent this email. Click on the sender’s name and look at the email address. You will see it does not match the email they always use. IT IS A SCAM!! Do not reply to the sender, just delete. If you have any questions stemming from the request, call the person and verify the request with them.
